We collect data from you when you register, book lessons, or use our website forms.

  • Website Forms: Data submitted through our website is passed directly to us via Wix email or automated via Wix to Google Apps Scripts.

  • Internal Environment: This data operates strictly within our company's secure Google environment. No information is transmitted to external or extraneous accounts.

  • Tutor Portals: Data collected within private tutor portals is not publicly accessible.

4. Why We Use Your Information

We use your information for fair and legal purposes, such as teaching learners, contacting parents about lessons, processing payments, and following the law. We will ask for your permission before using data for marketing.

5. Who We Share Your Information With

We may share data with our staff/tutors and, where it helps a learner's wellbeing, with schools or local authorities. We also use trusted service providers like Wix, Stripe, and PayPal. We never sell your information.

6. How Long We Keep Your Information

We keep data only as long as required for teaching or legal purposes:

  • Lesson Notes: Duration of enrollment + 7 years.

  • Contact Information: Duration of enrollment + 2 years.

  • Payment Records: 6 years for tax/legal reasons.

 

7. Data Security and Storage

  • Storage: All incoming data is stored directly in our company’s secure Google Drive account. We do not use external storage solutions or public NAS servers.

  • Access: Only staff who need your data to perform their roles can see it.

 

8. Your Rights

You or your parent/guardian have the right to see the information we hold, ask for corrections, or request deletion in some situations. To exercise these rights, contact info@mindstreamseducation.co.uk. If unhappy, you can contact the Information Commissioner's Office (ICO) at https://ico.org.uk.

9. Children & Parental Consent

We do not knowingly collect data from children under 13 without parental consent. If we discover data has been provided without consent, we will delete it immediately.
